Student Time Logs

ATTENTION STUDENTS: Effective January 10th, 2023 we will be rolling out a new time log template for you to use going forward to document all of your hours. In this template you will be able to document your guided field/guided clinical experiences without the need to complete duplicate entries in a separate time log template. You will continue to use the new template to document all hours going forward from that date. Important to note that you will NOT be losing any of your previously entered hours or entries however on your dashboard the new template will only be calculating totals entered from 1/10/2023 going forward. When calculating your hour totals please be sure you are looking at both sections of your dashboard to ensure you include both totals. More guidance on the changes will be provided when the new template goes live 1/10/23.

Accessing My Time Logs

There are two main ways to access your time logs in Tk20: 

MyPhoenix: 

In MyPhoenix, you will see a link entitled “Tk20 / Time Logs” in the footer of the page (under “Student Resources & Services”).  When you click on the three-line ‘hamburger’ menu in the top right-hand corner of MyPhoenix, the same link will be exposed in the “Study & Learn” section. 

Blackboard course shells: 

If your program requires time log submissions, each Blackboard course should include a link to Time Logs at the top of the course shell.  The link will be titled “My Time Log”, or ” My Time Log Access”, or something similar. 

After clicking either a course-shell link or a MyPhoenix link, you will be logged into Tk20. On the left-hand menu, click “Time Logs” under the main category HOME.  This will take you to your time logs dashboard. 

Creating and Submitting Time Logs 

1. On your Time Log dashboard, select Create New Activity

2. The following screen appears where you will enter your information. Details on completing this form are below.

3. You should be directly placed in the appropriate time log for your program. Select the type of Activity* from the drop-down list. 

Note:For any Guided Field/Guided Clinical Experience hours please ensure you select the appropriate activity under the GFE/GCE Instruction Category: One-on-one, small group, whole class (Additional Instructions for classroom submission can be found here GFE/GCE Approval and Screenshot Tutorial

For ECH students you will select the appropriate GFE/GCE category and activity that applies to the population of students you are working with.

4. Enter the email address of your reviewer in the reviewer field

5. Enter the date of your activity/experience in the Date* field. Enter the start and end times in the Time Range* fields (designate the hour, partial hour, and whether a.m. or p.m.). Enter a Description of your experience. You will write your field experience reflection here.

6. Click the Questions Tab to add additional details regarding your experience (Site Details and Reflection Questions) NOTE: This must be completed before you can submit the entry for approval. Reflection questions must be completed in 100-200 words!

7. When you have finished, click the Create button at the bottom of the page. 

8. Once you have created the entry you will be placed back into the main time log screen. You will need to further select the entry and submit for approval for the entry to be sent and approved by your reviewer. Verify your entry in the table, click on the entry, and then click Submit for Approval.

You then be asked again to review the entry for accuracy, if all is correct select “Submit” and your entry will be sent to the reviewer for approval.

Reviewing Time Logs 

Entries Tab 

The following will help you understand your Time Log entries: 

Date: This is the date that you entered for the day the field experience was completed. 

Time Range: This is the start and end times that you entered for when the field experience occurred. 

Duration: This is the length of time spent in the field experience activity. 

Status: 

  • Not Submitted  
    These are field experiences which have yet to be submitted to your reviewer for approval. Typically the reviewer will be the classroom teacher or another designated site personnel.  Field experiences in “not submitted” status do not count toward the total completed field experience hours. 
  • Pending Approval 
    These are field experiences which you have submitted to your reviewer for approval, but the reviewer has not yet approved.  Field experiences in “pending approval” status do not count toward the total completed field experience hours. It is your responsibility to follow up with the reviewer to ensure action is taken on your submissions. 
  • Approved 
    These are field experiences that the reviewer has approved. Only field experiences in “approved” status count toward the total completed field experience hours. 
  • Rejected  
    These are field experiences that the reviewer rejected. If the field experience is rejected, the reviewer is required to provide an explanation.  It is your responsibility to make the necessary corrections and re-submit for approval.  Field experiences in “rejected” status do not count toward the total completed field experience hours. 

Activity: This is the field experience activity you selected in order to identify the type of field experience you completed. 

Time Log: This is the specific Time Log you selected under Add To of My Time Log. 

Dashboard View 

Details: This table shows the field experience that you have entered on your Time Log by category and activity. This is not an indication of your completion of the required hours for your program.    

Hours by Status: This pie chart reflects the field experience that you have entered on your Time Log by status only. This is not an indication of the amount of hours you have completed toward the total required hours for your program.  Hover over each piece of the pie to see the total number of hours in each status. 

Hours by Category: This pie chart shows the field experience that you have entered on your Time Log by category (field experience and evaluated field experience). This is not an indication of your completion of the required hours for your program. Hover over each piece of the pie to see the total number of hours in each category. 

Note: Ongoing enhancements may result in minor changes to the look of the page; however, the functionality remains the same.   

Note: Review your entries for thoroughness and accuracy prior to submission for approval.

Transition of Field Experience Hours to My Time Log

All courses in teacher and principal preparation programs that started on March 4, 2016 or later will no longer use TaskStream. Any students that have enrolled prior to this date will be required to transition their Field Experience hours into My Time Log.

The steps to transition field experience hours in My Time Log are provided below.

  • Activity: Select Hours logged before Month, Day, Year under the OTHER category.

Note: Month Day, Year indicates the date your program transitioned to using the Time Logs system to track hours.

  • Date: Select January 1, 2016.
  • Start Time: Select 1:00 a.m.
  • End Time: Select the end time necessary to log the correct number of hours up to 24 hours per entry. If more than 24 hours are necessary, repeat for January 2, 2016. If still more hours are necessary, repeat with incremental dates until all hours logged prior to March 1, 2016 are accounted for.
  • Description: Add the hours logged before Month, Day, Year.
  • Reviewer E-mail: Provide the e-mail of a campus designated staff member (i.e., campus college chair, program manager, or education program specialist).
  • Select Add Activity.
  • A confirmation message opens asking if you want to complete the rest of the entry now. Select Yes. Fill in the required fields as follows:

College of Education Students 

  • Diversity in the Classroom: Other
    • Respond with Not Applicable in each of the reflection fields.
    • Attach the entire Field Experience Record document to each Time Log entry.
    • Select Update. (You will be redirected to the submission and summary page.)
    • Select the new submission(s).
    • Select Submit for Approval.
  • Content Area: Write in appropriate
  • Discipline: Choose appropriate
  • Grade Level: Choose appropriate
  • School Diversity: Not Applicable
  • Type of School: Public School
  • School Enrollment: 0
  • State: AZ
  • City: Phoenix
  • School Name: UOPX
  • Confirmation page – Select Submit.
  • Confirmation of successful submission – Select the OK button.
    • The staff member will review the attached Field Experience Record (FER) and approve or reject the hours as needed. 

My Time Log FAQs

College of Education Students 

  1. Where will the evaluated whole-group instruction be seen in class?

The activity options for the Instruction category are:

  1. What happens when an error message is received?

If you receive an error message, please notify your Education Program Specialist (EPS). Your storage capacity will need to be extended. This is done on a case-by-case basis.

  1. When should you select Guided Field/Clinical Experience (Formal Evaluation) activities?

The Formal category should be used when you are also sending the evaluation (4 times in the program). In your time log activities, you will select either one-on-one, small group, or whole class instruction. Once the entry is sent for approval your classroom teacher will be sent an evaluation attached to the entry to complete and approve. You will submit a screen shot of the approved entry back to your class as requested. NOTE: make sure you are selecting the appropriate activity under the GFE/GCE categories.

  1. What should you do if your Time Log entry does not appear in your summary list (and when you try to recreate it you receive a message indicating the new attempt overlaps with another Time Log)? 

This appears to be a case when students do not completely fill out the form (activity or date/time). If you experience this issue, please notify your EPS so the record can be updated on the back-end.

  1. What happens if a teacher receives the Field Experience approval e-mail, but receives a message that the link is expired? 

This can happen if you made any changes to a Time Log after it has been sent; the link will expire. You will need to resubmit. This could also be a cache issue on the evaluator’s end.

  1. Who do I submit a Time Log entry to? 

All Time Log entries must be submitted to the classroom teacher/building administrator overseeing the experience being logged. Time Logs should be submitted to the approver’s school/district e-mail address.

  1. What happens if the teacher does not receive the approval e-mail? 

In some cases, a district firewall will prevent the approver from receiving the e-mail. In those cases, the student should resubmit the entry to the approvers personal e-mail address or obtain a wet-ink signature to attach to the entry. A wet-ink signature submission must be submitted to the designated campus staff member (i.e., campus college chair, program manager, or education program specialist).

Overview of Student Summary Screen

When you first access My Time Log, you will be directed to a landing page. This landing page has three distinct components to help you understand and plan for the completion of field experience required hours.

Summary Table

The summary table on the left of the screen displays all entries to date and provides status changes from Not Submitted to Pending Approval to Approved/Rejected. This status column lets you know where each entry is in the approval process so you can follow-up on any that are pending approval or have not been submitted.

To the right of the Summary table is a graphic representation of the hours you logged by a specific template.

The view can also be switched between status and category.

The Details Button

By selecting the Details button, a window opens, providing a detailed breakdown of the hours logged by activity under each category.

Exporting a Time Log 

Time Logs can be exported for submission to the course facilitator. You must choose the template to export.

Note: Time logs and Field Experience Evaluations are two separate templates and require two separate exports.

After selecting the desired template to export, select the Export button, which will generate an Excel file. This file will provide aggregate counts of all entries to date as well as a detailed breakdown all individual entries regardless of approval status.

Note: This file must be saved to your computer in order to be submitted to your course.
